How to get to the Tool
Property Tax->Tools->Over Payment Tool
Usage:
When a bill is paid and the amount paid is over the bill amount an Overpayment is recorded.
The overpayment can be seen in the Overpayment Tool
From the tool the overpayment can be refunded back to the payor
How it Works
In the Transactions tab you can see where an overpayment was made on line 4 below. Line 5 shows the actual amount of the overpayment. This total will be shown in the Overpayment Tool.
Here in the Overpayment Tool the overpayment from the previous account shows a $225.00 overpayment and the Receipt# and Bill# it correlates with.
When the account is selected, the option to Refund is available. From this selection the overpayment can be refunded.
Another selection available is to block the overpayment which is used when a manual movement of the overpayment is desired. The selection is the red circle with the line at the end of the information line.
From the next screen the refund can be setup to return to the Payor or the Address of the account holder on file.
The Credit and Debit accounts are able to be chosen at the bottom of the Refund Entry form.
Both account settings are defaulted and should not need to be changed
When a refund is selected and processed you will see the information about it and it will give the Check# made for the refund
Details on the Check and ability to edit its content are available by clicking the Checks(s): #
The Overpayment Refund transaction can then be seen in the Transactions tab of the bill information.
